Executive Assistant to the Managing Director (Melbourne)

About the role

We are looking for an Executive Assistant to join Deepend Melbourne, who will provide administrative support directly to the Managing Director.

Your day to day will look something like this (but could also be so much more):

  • Providing administrative support to our Managing Director
  • Diary management on behalf of the MD
  • Organisation and administration of meetings (preparing agendas etc.)
  • Responding to routine emails and correspondence
  • Coordinating and managing domestic/international travel arrangements
  • Managing all expenses and invoices
  • Coordinating fun team outings by obtaining quotes, booking events and functions
  • Updating confidential documents & reports
  • Sending company update emails on behalf of the MD
  • Completing ad hoc projects when required

About you

  • You are someone who understands the importance of dotting every 'i' and crossing every 't'. You have the ability to work across multiple projects, and you understand and work with our goal of quality over quantity.
  • You instinctively know when to be discreet, have amazing attention to detail and are someone who is flexible in their approach.

In addition to the above, we would love you to have:

  • A strong EA/PA background with proven experience
  • Excellent organisation, time management skills and high attention to detail
  • Strong interpersonal and communication skills
  • An ability to liaise at an executive level
  • A proactive approach to work
  • The ability to work autonomously and prioritise
  • A strong knowledge of Google docs, Gmail and Microsoft Office Suite (Word, Excel, PowerPoint)
  • An eager nature to thrive in a fast paced, ever changing environment

This is a full time role, based in our Melbourne office.
